Important NC State Employee Email Account Information    •

New Employee Email Accounts – For faculty and staff, the dean of your division or supervisor will automatically request an email account for you. For adjunct faculty e-mail accounts are created on a request basis so please contact the Administrative Assistant in your division to request your email account. They will need your first and last name and the last four digits of your social security number.



All employee email accounts will use the same format for their email username and password.



All employee email users agree to the terms listed in our NC State Computer and Network Users Policy. A copy can be found at: www.ncstatecollege.edu/help.



Your email address – your email address will be your [email protected]. For example: [email protected] .



The web based email system will time out after ten minutes of nonuse. You will have to type your name and password again if the system has timed out.



Archive - The web based email system will automatically archive emails every 90 days. Once an email is archived you will not be able to access it from WebAccess, however archive can be access through a GroupWise desktop version. You may wish to print out a paper copy of all vital emails before it is ninety days old. Appointments on your calendar will automatically archive every 30 days.

Accessing Your GroupWise Mailbox Using the Web Browser  You can access your GroupWise WebAccess email account from our website’s home page at www.ncstatecollege.edu, by rolling over Faculty/Staff with your mouse to get a drop down box, then clicking on Employee email. You may also directly go to the URL: http://mail.ncstatecollege.edu .

SYSTEM REQUIREMENTS - GroupWise Web Access works reliably with Firefox 1.5 or above, Internet Explorer 6.0 or above, and Netscape 7 or above. Please note that GroupWise Web Access will not work with the AOL browser. Once AOL is started, one of the above listed browsers can be opened for GroupWise Web Access.

Your Employee Email Username    •

The first initial of your first name (lower case)



Followed by your entire last name (lower case)

For example: The Username for an employee named Jessica Monroe, would be: jmonroe.

Your Employee Email Password

Changing Your Password    1.

Click on Options on the upper right corner of the WebAccess screen (between Help and Logout).

On the Password page, click in the box labeled "type your old password."

3.

Type the password that you used to log into this GroupWise WebAccess session.

4.

In the box labeled "Type your new password," enter the new password that you would like to use.

5.

Enter your new password again in the "Confirm" box.

6.

Click on Save and then on Close.

GroupWise WebAccess Login Screen Login: 1.

Enter your username and password (see page 2 for username & password instructions).

Select your connection speed: • High (Broadband), which has all the features that are available in GroupWise WebAccess. Use this default setting if you have a highspeed internet connection. • Low (Dial-up), which looks the same as the default high-speed interface but does not auto update your message list and calendar. It also does not support name completion.

Check Use the Basic Interface if you’re using a mobile device. The basic interface has limited functionality and graphics. It is designed to perform the most basic tasks in GroupWise.

Click Login.

Novel Groupwise WebAccess Main Window  The Navigation Bar provides quick access to the most commonly used folders within WebAccess by clicking on the tab for Mailbox, Calendar or Documents. Mailbox Tab The Toolbar lets you quickly accomplish common GroupWise tasks, such as creating a New Email message, appointment or task, opening the Address Book, and Managing Folders. This tool bar will change depending on which tab you are on (Mailbox, Calendar or Documents). A.

To the left of your screen while in the Mailbox Tab you will see a list of options. Mailbox – lists all of your mail that you have received. (C) Sent – lists all the emails that you have sent. Work In Progress – allows you to create an email and save it to send at a later date. Calendar – opens the Calendar tab to display your calendar. Cabinet – List personal folders that you create. Trash – Lists all deleted received emails, sent emails and calendar items. To delete your trash, click on Trash, click on the box in front of each email you wish to remove, click Delete from the Task bar shown as B.

Display Next – allows you to choose how many messages you wish to view at a time in your Mailbox.

Help, Options, Logout – (Top right hand corner of the program) The Help function allows you to search for help topics. The Options function is where you change your password, set up proxy access, define rules, send options and create a signature. Logout returns you to the main login screen.

Reading Messages  To read a message, under the Subject column, click on the subject of the email you wish to read.

A. A popup window will appear with the message. (Make sure you have allowed popup windows in your browser.)

To reply to, forward, or delete the message, click on the applicable icon at the top of the message window on the Email Tool Bar.

Attachments - Opening and Saving an Attached File If a message has an attachment, a paperclip appears next to the envelope icon in the mailbox list. After opening the message, you'll see the attachment listed under the subject line along with the following options. • • •

[View] displays the attachment through the GroupWise viewer. The file may not look exactly the same as it would through its own application. [Open] opens the file using the appropriate application, assuming that it is available on your computer. The file opens in a temporary folder. [Save As] saves the file to a desired location on your computer.

Click on the red “X” to close an email. After moving to another GroupWise window, you can return to your Mailbox by clicking on the Mailbox tab on the upper left corner of the main WebAccess screen and then on Mailbox in the folder list on the left side of your screen.

Creating and Sending Messages  1.

From the Toolbar click on New and a Compose Mail Message window will appear.

Type the recipient's e-mail address in the "To;" field. Separate multiple addresses with a comma. CC: is to send a copy to another person and BC: is to blind copy someone.

Address Book – You can also click on the address book from the Compose Message Taskbar and choose an address that you have already saved. 1. From the drop-down list, select a category such as "Last Name". 2. Select a type of search such as "Begins with". 3. In the text box, type the first few letters (or more) of the name you are trying to find. 4. Click on Search . 5. Check the box in front of the desired recipient name. 6. Click on To or CC or BC to address a message to that person. 7. Click on Mail or OK on the right section of the screen to begin or continue your message. 8. You can also click on Add Entry to add a new contact to your address book. B.

Type your subject line.

Type your message.

Click on any desired options from the Compose Message Taskbar (such as Spell Check).

Click on to Send (located on the Compose Message Task Bar) to send the message.

Click on the Attachment tab (A) Click on the Browse button (B) and locate the file you wish to attach. Double-click on the filename. Click on Attach button (C) The file you attached will be shown in the window. (D) Repeat the previous 5 steps for additional files. Click on the Mail tab to return to the Mail Message window to finish your email.
