Please read: To access the Cranfield resources detailed in this guide you will need a Cranfield account. Access to resources is automatically allocated based upon your student status and will remain active while you are a current student at CDS. All credit-bearing courses (e.g. MSc, PG-Cert, PG-Dip and accredited short courses) will have access to all resources by default. Students attending Ammunition Technical Officers and Petroleum, Chemistry and Technology courses will have access to all resources except for file storage. Short course students are not issued with accounts by default. 1

IT Services at CDS The intention of this guide is to inform you of all of the IT services on offer to you whilst you are studying within CDS. The IT provision at Shrivenham is complicated; there are three separate suppliers, all offering separate services and support arrangements to you while you study here. The University services are supplied by Cranfield IT, local IT services are supplied by Serco and Wifinity Ltd offer Wi-Fi services in the Officers’ Mess buildings. Below you will find a diagram depicting the service by supplier which should simplify the arrangements at a glance.

IT Training The IT training team offers a wide range of free training opportunities for students of Cranfield University including classroom-based and online learning, materials for independent study and one-to-one support. For full details of courses and to reserve a place visit the IT Training pages online. You can also contact the Cranfield IT Service Desk for one-to-one assistance. The trainer-led course on Using the Thesis Template is always particularly well received and is definitely worth attending if you want to avoid the headaches so often associated with formatting theses. You will be shown how easy it is to download and start using the thesis template and how to manage your page numbering, captions, cross-references, table of contents and so on. Courses are run at the Shrivenham campus and are also available on request. If you have an interest in any of our courses please raise it with your Course Director, they can co-ordinate with the rest of the course and the Cranfield IT team to arrange for training at CDS.

Access to IT Services EVE—The Cranfield Student Portal Before you use your Cranfield username to access any IT services, it is essential that you complete the online set up process in the student records system, EVE. If you need assistance in accessing your EVE account, contact the IT Service Desk (see the Contact Information on the back page for details). Without completing this you will be unable to access any of the other Cranfield IT services detailed in this guide. EVE, in conjunction with our Password Manager facility, allows you to self-manage your Cranfield IT account, keep your personal information current, and to reset your Cranfield IT account remotely through the use of security questions. The University will use the contact details stored in EVE as the primary means of contacting you. We will liaise with you using your @cranfield.ac.uk address. To forward the Cranfield email address to a mailbox of your choice you can do so via EVE under the contact details and forwarding facility. If you choose to forward your email it will be redirected to the alternative mailbox and you will not retain a copy in your Cranfield mailbox.

Logging on to EVE When you first log in to EVE you will be prompted to change your password. Passwords are case sensitive, must be at least 8 characters in length and contain characters from 3 of the following 4 categories: uppercase letters (A-Z), lowercase letters (a-z), numbers (0-9) and symbols (e.g. !,%,#,$).

Next you will be prompted to enter your date of birth and submit answers to three security questions. We strongly recommend that you answer these questions as they will be used for authentication purposes if you ever need to request a password reset. If you are unable to access your account, and haven’t gone through this process, you will need to present identification to get it unlocked. Cranfield University shares the answers to these questions with Serco IT and they will be used to populate the Password Manager detailed overleaf. Both parties can use these security questions to identify you when you are unable to verify yourself in person.

We only share the answers to these questions with Serco IT, plus your name, student number, contact and course details. No other information is shared with Serco. If you haven’t already done so you need to complete registration in the EVE system. Without it you will not be able to access the other Cranfield IT resources such as the Barrington Library services, the Cranfield file store or the VLE. You would also need to come onto site to get your Cranfield or Serco IT password unlocked or reset.

Password Manager Management of your Cranfield CCNT Account Your CCNT account gives you access to centralised services at Cranfield University; with this account you will be able to access EVE, email, file storage, the CDS VLE, the Digital Library, the Extranet, the Intranet and timetabling information. If you lock yourself out of your account, or you cannot remember your password, you can use the Password Manager to regain access. With this tool you can reset or change your password by entering the answers to the security questions or by using the email option to send you a reset link. Both of these options use the information you supplied in EVE. The security questions method uses the answers you gave in registering and the email option uses your associated personal email address. If you cannot remember the answers to your security questions, or you have registered an email address you cannot access please contact the IT Service Desk to reset your password. Important: The IT Department will never ask for your password and you should never share or disclose your password to anyone.

Changing an existing password To change an existing password (that is one you have not forgotten) click on the Change your password link on the left-hand side of the screen. You will be asked to submit your username, your current password and the new one you would like to use. To review your security questions, click on the link to the right of the screen marked Review your security questions. You will then log in using your CCNT username and password. Passwords are case sensitive, must be at least 8 characters in length and contain characters from 3 of the following 4 categories: uppercase letters (A-Z), lowercase letters (a-z), numbers (0-9) and symbols (e.g. !,%,#,$). You cannot use a password you have used before.

Remember! You can use the Password Manager if you lock yourself out of any of your CCNT authenticated services such as email, file storage, the CDS VLE etc. 4

Cranfield email services You can access your Cranfield email account both on and off-site. This booklet explains how to access your emails through a web browser using Microsoft Outlook Web App (commonly known as ‘WebMail’), from smart devices or with the full Outlook client. The Cranfield Exchange supports IMAP and SMTP protocols so if you wish to connect using alternative means to those given here please contact the IT Service Desk for assistance. On campus we recommend use of the WebMail service as you will be unable to store the required settings for the full Outlook client on the Serco user account. The Cranfield email global address book contains the email addresses of Cranfield staff and students at both the Cranfield and Shrivenham campuses. The University will use your Cranfield email address as the primary email contact address so please ensure you check it regularly. Alternatively, you can ask the Cranfield IT Service Desk to forward it to an email address of your choice or you can do this for yourself by using the forwarding facility in EVE.

Accessing Cranfield email using WebMail The look and feel of WebMail is very similar to the full Microsoft Outlook client. You can search for people or emails, create folders, set up appointments and send and receive email. It will work from any internet enabled system via a web browser. To access your Cranfield email account via WebMail: 1.

Open your web browser.

Go to outlookanywhere.cranfield.ac.uk

Select the appropriate security setting for public or private use computer.

Enter your Cranfield username pre-fixed with the domain (CCNT) and password.

5.

Click Sign in.

6.

Your Inbox will be displayed automatically. Use the Navigation pane on the left-hand side to access your other mail folders, calendar, contacts and so on.

Accessing Cranfield email using Outlook 2010 To configure Outlook 2010 to access your Cranfield email account: 1.

Open Microsoft Outlook. On the first use of Outlook the Startup wizard will begin automatically. Note: If this does not happen, or you already have an email account set up: i.

Select Start  Control Panel  Mail

Show Profiles  check Prompt for profile to be used  Add

Give the profile a name for example Cranfield Email then click OK

3.

Select the Email Account option.

4.

Delete any auto-populated details in the email address field and enter your Cranfield email address.

5.

Enter your Cranfield Password in the two password fields then click Next.

6.

When prompted by the Windows Security message select Use another account.

7.

Replace any auto-populated details with your Cranfield account information:  

User Name: Prefix your Cranfield user name with CCNT\ Password: Enter your Cranfield password

Click OK. Acknowledge the message to restart Outlook.

9.

Providing all the details entered are correct you should see a congratulations message. A successful set up will be indicated by 3 green ticks as shown here. If you get an error on the last screen press the Cancel button and start again. If you are still experiencing an issue please contact the IT Service Desk.

Click Finish.

Outlook is now configured to access your Cranfield email account. When you open Outlook and select your Cranfield profile you will be prompted for your CCNT username and password details.

Accessing Cranfield email from portable devices There are many different types of portable devices that can be used with Cranfield services. This section contains instructions on the most popular devices but this is by no means a definitive list. Note: Synchronising your email without an unlimited or allocated internet access quota may incur significant costs. Prior to configuring any mobile device to access Cranfield email check potential network charges.

Cranfield Email

Android Devices There are several different versions of the Android operating system and many mail applications that come pre-installed or are available to download. For the purposes of this document we will focus on the HTC Work Email Microsoft Exchange ActiveSync app. If you do not have this app try the same settings on your device by selecting Exchange Mail, or check your app-store for updates or an alternative app. To configure an Android device:  Open the app, skip the first screen, and select Manual Setup.  The next window will ask you to enter some information about your mail account.

BlackBerry Devices BlackBerry phones all use the same operating system (except the 10 series). However, the software installed by different network providers can result in variances in the interface appearance. For the vast majority of BlackBerry phones email configuration can be found under the Setup menu. To configure a BlackBerry device: 

From the Setup menu select Email Accounts  Create or Add an email account. Important: If the only option you see is BlackBerry Enterprise email, talk to your service provider for assistance in unlocking the required email setup options.



By default the personal email screen prompts for your email address and password and will attempt an auto configuration of the email; this process will always fail. To get to the next menu you will first need to complete the following steps.



Once the auto-configuration fails your BlackBerry will display an option to provide additional settings, the details of which are: Mailbox type: Exchange or Outlook Web Access Username: Your network username (e.g. r123456) Password: Your network password Domain: CCNT



If you are prompted for a Mailbox name just enter your Username again. Once the process has completed successfully you will receive a message to say that mail sync will start in 20 minutes and you will have a new mail icon on your main menu screen.

Windows mobile Devices To configure a Windows Mobile device: 

Go to Settings and under System select Email & Accounts.



Enter the following information: Email address: Your Cranfield email address Password: Your network password Username: Your network username (e.g. r123456) Domain: CCNT



Your exchange account should auto configure the default exchange settings. If the account does not auto configure you will need to enter outlookanywhere.cranfield.ac.uk in the exchange server field and set it to use the default port.

Saving your work File storage access via the Extranet The Cranfield University file storage offers you a secure, backed up and easily accessible storage service for your data. We recommend you use this service to store important files, such as your thesis. If your PC fails you will always have a copy online with the University. We can also recover older versions of files on request if a file is corrupted in some way or you want to revert back to an earlier version. You can access the Cranfield file storage in several ways but when on campus you will probably find it easier to use the Cranfield Extranet. Whilst you could map a drive to your file store instead, this would mean doing so every time you log on, as the DAC account and DA networked PCs will not retain the file mappings. To access the Extranet: 1. 2. 3. 4.

Go to https://extranet.cranfield.ac.uk Enter your Cranfield username and password and set the realm to Shrivenham Click Sign In The Cranfield Extranet Home screen will be displayed.

Uploading and downloading files via the Extranet Links to both your Personal Filestore and Group Drives can be found under the Files tab on the righthand side of the screen. To access your file store select Personal Filestore  CDS  Your username To download a file from the Extranet: 1.

Select the tick box next to the file you want to download. Select Download  Download. When prompted to do so choose to open or save the file.

The file will be downloaded as a compressed .zip file. You will need to extract the file before use.

Note: When you open or save a file from the Extranet it will be stored locally on your PC and any changes made to the file will be written locally. You will need to upload the file to your file store to save any amendments you have made. To upload files to the Extranet: 1.

Select Upload Files then click Browse to locate the file you want to upload. Select the required file and click Open.

Click Upload. If you already have a file of the same name you can choose to save the file with a new name otherwise it will be automatically renamed by appending the upload date to avoid overwriting the original copy.

Other services available via the Extranet The Cranfield Intranet and the Barrington Library are also available offsite via the Extranet. The Barrington Library is supported by Library and Learning Services. For assistance with using this service you can contact them. Their contact details can be found at the back of this booklet. 9

Mapping a drive in Windows 7 and 8 From your home PC or laptop we recommend setting up the WebDAV connection to the Cranfield file storage.

Using WebDAV (Windows 7)

To map a network drive from Windows Vista or Windows 7: 1. Click on the Start button 2. Select Computer from the Start menu 6.

Using WebDAV in Windows 8 1.

In Desktop mode click the Windows Explorer button on your Taskbar

Next click the Computer tab, and select Map Network Drive

For the Drive field choose a letter that isn’t already in use.

Enter your network username prefixed with ccnt\ and your password. Tick Remember my credentials and you will not need to retype these when accessing the network file store in future.

Cranfield University Intranet The University’s primary method of communication for announcements, news articles, procedures and policies, is the Cranfield University Intranet. We therefore recommend you check it regularly to keep up to date with events and other important messages.

To access the Intranet go to: https://intranet.cranfield.ac.uk You will be prompted for your username and password. Enter your details in the following format. Username: CCNT\username Password: Your network password

The IT pages can be found under Services Information technology. Under our pages you will find information on how to use all of the services we offer you, details of IT training courses, online training material and much more.

Student Discounts and Free Software During your studies you may wish to purchase IT equipment or software. We are happy to help with answering any question you may have in relation to this, and to offer advice on suppliers. Guidance can be found on the Intranet under the software pages. Cranfield University is signed up to the Microsoft Student Advantage programme which means that whilst you are a student at Cranfield you are entitled to download free copies of Office Pro Plus, via Office 365. Download your free copy of Microsoft Office via http://msoffice.cranfield.ac.uk.

It is worth noting that for other software your Cranfield email address identifies you as a student and may entitle you to discounted or free software from many vendors. For example, the Microsoft Portal Dreamspark (www.dreamspark.com) will give you free access to a whole suite of developer and designer tools with an academic email address. Other vendors may offer similar free or discounted services to students so always check prior to purchase. Further information on discounts, software and hardware vendors can be found here: https://intranet.cranfield.ac.uk/it/Pages/ITProcurementCDS.aspx The services on offer will no doubt change and develop throughout the year so it really is worth checking the Intranet to keep up to date with everything on offer to you.

Timetables and Online Learning Resources CDS Timetables https://timetable.cranfield.ac.uk You can search on the CDS timetables by Module, Staff, Room, and course. When searching by course it is worth noting that they are often prefixed by the qualification, e.g. MSc in... or PG cert in… followed by the discipline and mode of study. If you experience any issues with using or accessing this service you should contact the Cranfield IT Service Desk.

Barrington Library http://barrington.cranfield.ac.uk Available on the Defence Academy LAN via the MoD intranet (DAIS) or offsite via the Cranfield Extranet. The Barrington Library service is supported by the Library and Learning team on the Shrivenham site. Their experienced, skilled and helpful staff will be able to assist you with any of your library related queries, their contact details can be found at the back of this booklet.

CDS VLE https://vle.cds.cranfield.ac.uk The CDS Virtual Learning Environment is an e-learning system supporting your studies here at CDS. This service is supported and managed by the Flexible Learning Support Centre (FLSC). This experienced, skilled and helpful team will be happy to help you with any of your queries. Protecting your PC Anti-malware recommendations If your laptop or PC is not properly protected it can become infected with malicious software (malware) without your knowledge. Malware includes computer viruses, worms, Trojan horses, spyware, dishonest adware and other types of malicious and unwanted software. The Defence Academy requires anyone connecting personal computer equipment to the DA Wi-Fi network to ensure that they are running up-to-date anti-malware software and that all operating system software updates are current (See IT Information Sheet: IT04 for information on performing Windows Updates, available on the intranet). To protect against viruses the IT Department recommends installing Microsoft Security Essentials antivirus software. (NB. Windows 8 comes with Windows Defender which is the same as Security Essentials) To prevent infection by spyware or other types of malware, you may also consider installing dedicated anti -spyware products such as Malwarebytes or Spybot Search and Destroy. Download, install and run these applications and any threats they discover should be removed. Note: In some cases the threats may not be completely removed, in which case repeating the scans in safe mode may help. To boot into safe mode re-boot your computer and hold down the F8 key until a boot menu appears. Choose Safe Mode and wait for the machine to boot. If you still have a problem with spyware then you may need to consider using the original restore CD to restore your computer to factory settings. This will normally remove any spyware, although you will lose all of your data and programs. You should always backup your personal data to an external source such as a CD/DVD or external hard drive before doing this.

Preventing malware infection The best way to avoid being infected by malware is to install anti-malware software and follow a few simple rules: 

Keep your computer's software up-to-date by downloading updates on a regular basis.



Only run software which you know is from a reputable and legitimate source.



Scan your hard disk regularly using anti-virus software. Scan removable media before you use them and before you send them to other users.



Regularly backup your important files.



Wherever possible, only visit reputable and legitimate websites.



Do not open unsolicited emails from sources you do not recognise.



Install a firewall to hide your computer from unsolicited network traffic.

Already infected with a virus? If you suspect that your PC already has a virus, but you don’t yet have any anti-virus software installed, we recommend running an free virus scan using McAfee Labs Stinger before installing an anti-virus product. Stinger is a standalone utility used to detect and remove specific viruses. It is not a substitute for full anti-virus protection, but it is an effective tool for dealing with an infected system. Stinger can be downloaded from: www.mcafee.com/us/downloads/free-tools/index.aspx.

Serco supported services Serco are a service provider to the MoD at the Defence Academy UK. They supply and support the onsite IT infrastructure at the Defence Academy; this includes the network, the networked PCs, the Defence Academy Wi-Fi, printers and photocopiers you may use on campus. When you arrive on campus you will be supplied with a user account to access and use the Defence Academy (DA) network. This account will give you access to: 

Networked PCs in the library, classrooms and Computer Centre rooms.



Access to the DA intranet - known locally as the DAIS



Access to a DA secure personal file storage area mapped to the h:\ drive



Monitored access to the internet



Printing and scanning services



An online Facilities Management System: http://selfservice

The DA network is subject to MoD security constraints. As a result the services overleaf will only be available to you on campus via the DA network. You may access, use and store materials on the DA network up to, but not above, the classification OFFICIAL-SENSITIVE. Further guidance on the management of data on this network can be found here: http://dais/businesssupport/InformationManagement/default.aspx There are several open access PC areas on campus such as those in the Library, and CC26 and CC27 in the Computer Centre. To access them you will need to use your DA account. The Library PCs are accessible during the Library opening hours (see back for details). The majority of student access PCs on the Shrivenham campus are running Windows 7 and Office 2010. The use of unapproved USB devices on the DA network is currently prohibited. You can access data held on USB devices via a stand alone PC in the computer centre, burn it to disk, and then use that CD or DVD to access the data on any of the PCs on the DA network. Approved USB sticks can be acquired via Serco IT, should you wish to use one they will be happy to assist you in your enquiries.

DA Network Account Policy Your DA account will allow access to the networked PCs on campus during the duration of your studies. However, for security reasons it is designed to disable after 90 days of inactivity. To re-enable the account you will need to contact the Serco service desk on your return. Their contact details can be found at the back of this booklet.

Printing Local printers on campus are being phased out as the Defence Academy move towards the use of Multi Function Devices (MFDs) and global or ‘follow me’ printing. These devices will print, scan, and photocopy documents. You should also be able to configure your account to email you any of the outputs rather than produce a hard copy. Follow me printing allows you to collect your prints from any of the global printing MFDs on campus. Further information on the campus wide printing services can be found on the DAIS or within the Induction area on the CDS VLE. In the interim, in areas where the new MFDs are not yet available, instructions on how to add a local printer should be available in hard copy alongside the printer. Should you experience any issues, the Serco Service Desk will be happy to assist, their contact details can be found at the back of the booklet.

The Computer Centre For a list of the available centralised classroom software go to: https://intranet.cranfield.ac.uk/it/Pages/CDSClassroomInfo.aspx This page is hosted on the Cranfield Intranet. From the Shrivenham campus you will need to use your Cranfield CCNT username and password to gain access. You can also access the Cranfield Intranet directly from offsite should you wish to check this list before coming onsite.

The Defence Academy Intranet The Defence Academy Information Service (known locally as the DAIS) is the default home page on DA networked PCs. The URL is: http://dais You may find these services, available under the following navigation areas on the DAIS, useful: 

Wi-Fi and Bring Your Own Device (BYOD) Access to Free Wi-Fi The Defence Academy free-at-point-of-use Wi-Fi is currently being rolled out across campus and most areas are expected to have Wi-Fi in academic year 2014/2015. Support for connecting to this service is supplied by Serco IT. Cranfield IT support personally owned devices in connecting to Cranfield services. If you experience any issues in connecting to our services the Cranfield Service Delivery team offer a drop-in service in Wellington Hall, room 24 (WH24) or you can contact the Cranfield IT Service desk for assistance.

Access to Accommodation Wi-Fi Service The Wi-Fi services in the Defence Academy Officers’ Mess buildings are available via a commercial partnership between Serco and Wifinity Ltd, this service is separate to the Defence Academy Wi-Fi and is a pay-as-you-go (PAYG) service. You may connect up to two personally owned devices including PCs, laptops, smart phones and games consoles. You can subscribe on a daily, weekly or monthly basis starting at 50p a day. If you already have a Wifinity account from another MoD establishment you can use it here at no extra cost. To set up the service connect to the ‘Wifinity PAYG’ wireless network onsite and proceed with the prompts to create an account. Any queries should be directed at Wifinity directly on 0208 090 1290 or by emailing [email protected]. The agreement is between yourself and Wifinity, and no support can be supplied by either the Defence Academy or Cranfield University.
