iGROW - Frequently Asked Questions

General Why is the system called iGROW? As part of Al-Futtaim’s Talent for Growth agenda, we are committed to providing learning and development opportunities to our employees to ensure they can be successful in their current role and their future roles with AlFuttaim. This is why we have invested in the iGROW learning management system (LMS) as it allows employees to take ownership of their individual learning and development. The ‘i' in iGROW represents individual ownership and individual professional growth, which can be possible through proactive use of this tool. I work for a brand that has its own Learning Management System. How do I view both to complete my learning? iGROW is Al-Futtaim’s LMS and some of our group companies may have their own LMS which may be provided by another company. This makes it difficult to integrate the systems, however we will be looking at offering a quick link from iGROW to individual group companies’ LMS to make it easier for employees to access. What training is available for iGROW? There are many training modules available on iGROW to help you learn more about using the system. You can find these within iGROW by browsing iGROW training. How does a new employee get access to iGROW? Any new employee who is given access to Employee Self Service (ESS) will automatically have access to iGROW as part of the joining process. New employees will receive an email notification with their log on instructions and have 30 days to complete their first log in. If I leave what happens to the information about me on iGROW? We will archive the information relating to your learning history for two years. Information on your employee profile will be removed. Can I access iGROW from home if I want to complete my learning outside of work? One of the benefits of iGROW is that it is accessible 24/7 from any laptop or PC with an internet connection. To access iGROW outside of work, please use the URL: igrow.alfuttaim.ae Can I use iGROW on my iPhone, iPad or Android? iGROW can be accessed on your iPhone, iPad or Android device. We will be focusing on using this and how we support it in a future release of iGROW. This means that at the moment, we are unable to provide technical support and there are limited features available if you use iGROW on your device. I am receiving too many email notifications, how can I stop this? You will receive notifications to keep you informed of updates and to provide reminders to you regarding iGROW. This is not something you are able to turn off.

Logging into iGROW What is my username and password? Your username will always be your employee ID i.e. 123456. You would have been notified of this upon joining the company. The first time you log on, your password is also your employee ID and you will then be prompted to change it to a password of your choice. How often do I need to change my password? You will be prompted to change your iGROW password every 72 days I have forgotten my password what should I do? Select ‘forgot password’ on the iGROW log in page and enter your username (employee ID). An email will automatically be sent to the email account associated with your iGROW username, and then you can follow the link to reset your password.

Employee Profile What are the guidelines to follow when uploading a picture to my profile? When uploading a photo to your employee profile on iGROW, you should follow the below guidelines.  Your photos must show your full head and shoulders. It must be only of you with no other objects or people.  You should be facing forward and wearing professional business attire  Photos should be in colour, clear and in focus  The picture size should be 200KB or below. How can I check the size of my picture? Right click on the picture and select properties. You can then see the file size. I cannot upload a picture. What should I do? Please check the size of your picture and ensure your picture conforms to the above guidelines. If you continue to have issues uploading the picture, please contact HR Connect. There are errors in my personal information, job title and / or organisation structure. How do I fix this? 1. Email your Line Manager for approval 2. Forward the approval email to your HRBP 3. Once agreed by your HRBP, forward to HR Connect by email: [email protected] who will update the information for you in iGROW. What is the difference between the employee profile and the public profile? On your public profile, you will see details of your role and where you work as well as your contact details. In addition, you can add a picture of yourself and a brief description of your experience, skills and knowledge. Your employee profile is a little more detailed. You are able to add information on your work experience within AlFuttaim and previous organisations, as well as your qualifications and much more. This information is useful as we can quickly get to know you, your experience and background.[MB1]

What do the personal information fields mean in the employee profile? Username First Name / Last Name Title Company Code and Company Name Job Family & Job Code Hire Date Manager Human Resource Payroll area country Location

This is your employee ID Your full name as provided to us when your joined Al-Futtaim This is your functional job title The is the company that you belong to i.e. IKEA, Al-Futtaim Motors etc which has a specific inter-company code and a name Job Code is your corporate title and job family relates to the role your do and enables a group of employees who perform a similar role to link up. This is the date of when you joined Al-Futtaim This is the name of the Line Manager you report to directly This is the name of your HRBP This is the country you work in i.e. UAE This is the permanent area where you work i.e. Abu Dhabi

Learning I cannot find the type of content I need. What do I do? The content available on iGROW will be developed and released on a regular basis. If you cannot find something you would like to learn, please raise this to your Line Manager who can raise this with the Learning and Development Lead for your company. N.B. Line Managers should raise such requests via the allocated divisional Jam group. I have found a course I want to attend but there are no classes scheduled. What do I do? In the iGROW course catalogue, you have the ability to request a schedule. Please submit the required information on the course you need by selecting ‘request schedule’. This will be submitted to the administration team and if there us sufficient demand for a course, we will schedule the required class. Some of my team members have iGROW and some do not. As a Line Manager, how do I manage this? For those employees who have iGROW, you can manage them via the system i.e. approvals for training, assigning learning etc. If you have employees who do not have access to iGROW, you can still support them in their development by following our offline processes. Please email [email protected] for more information on this. How do I search for courses available regionally? Using the browse function type in the country where you are looking to attend a course. This will provide a list of available courses. One of my team members is due to attend on a course, however at the last minute they cannot attend. Can I send someone else? It is not possible to send a substitute to a course at the last minute. Many of our courses have pre-requisites which need to be met by the employee attending and their substitute will not have the opportunity to complete this. If an employee is unable to attend, they or their Line Manager should withdraw the employee from the course within the course cancellation period. Why are the course costs displayed on the tool? Do I need to actually pay myself? The cost of each course is displayed so you can see the investment being made by Al-Futtaim in your development. The cost is not something you pay directly to the company, this is taken from within the business. The cost is however

important to remember if you do not attend and do not cancel in advance according to the course cancellation guidelines, in which case this cost will be charged back to your business area.

My manager has left and there is no one in the system to approve my course. What should I do? If your Line Manager leaves, an alternative manager should be allocated to approve learning and development requests. Please check your employee profile and personal information to see who this is. If no-one is showing as your Line Manager, please contact [email protected] who can assign the Manager +1 responsibility for approvals in the interim, following HRBP approval. Can I assign someone else to complete my approvals? Your direct Line Manager is automatically assigned to complete approvals for team members where this is required on a course. As a Line Manager if you are going on leave you can assign an Alternate Supervisor in iGrow who has to be your Line Manager or the next manager in line with the correct Delegation of Authority (DOA) in your respective division(s).

Jam How do I join a Jam Group? During the first release of iGROW, selected Jam groups will be set up and employees will be invited to join. In future releases of iGROW, we will look at the opportunity to open up Jam so that employees can automatically join groups of interest to them. I have been asked to join a Jam group what should I do? Jam groups are a great way to learn from your colleagues and peers within the organisation. Select ‘join’ and you will be added to the Jam group. You will be able to access this from your home screen or by accessing Jam from the drop down menu in iGROW.

Non iGROW users I am due to get iGROW access at a later phase. How do I get access to learning and development opportunities in the meantime? iGROW will be rolled out across Al-Futtaim’s employees in phased releases. Future releases will ensure that iGROW access is provided to more employees. Learning and development is still available to you even if you do not have access to iGROW. Visit Al-Futtaim Training Centre’s website for more information on training courses available to you and how to apply.

Problems using iGROW iGROW is running slowly and it is taking me along time to open and complete training. What should I do? iGROW runs on the internet, so first check your internet connection whether via Wi-Fi or cable. If you are still having trouble, please call EIT on +971 4 706 8888.
