Employee Online What is it? It is a way of entering your requests so that they appear on the electronic roster. Why use Employee Online? It means that you don’t have to use a request book anymore. The requests can’t get lost either! Am I limited to the number of requests I can make in a roster period? Yes, the Trust procedure states that the maximum number of request you can make in any one roster period is equal to 30% of your hours worked, please refer to the roster policy. What happens if I want to make more requests? Enter the most important requests using employee online.

Logging in to Employee Online

Double click on the Internet Explorer icon on your desktop to get to Trust intranet

In the address field type http://HROSTEREOL/EmployeeOnlineHealth/LIVE/Login and press the return key. (To set as a shortcut on your desktop – click on File > Send > Shortcut to Desktop and a new icon will appear, as shown above). st

Enter your username and password and click Login (The 1 time you login you will need to change your password

Viewing Your Roster Your roster will automatically appear when you log in. On the top right you can change your view date You can also navigate forwards a backwards along your roster using the arrows pointing to the left and right On the top of the roster you will also see any TOIL you have up to this date

Viewing and Requesting Annual Leave Click on Annual Leave from the left hand menu A list of your current annual leave is visible. Icons show the annual leave status: approved, cancelled or requested. You can see the leave entitlement for the year and what is remaining. Click on the arrow to change the year. To make a request for annual leave use the calendar to select the start date. Enter the duration in days and add notes if required. Click on Submit Request and you will be able to see your request.

To change the dates or duration the original request will need to be deleted and a new request added. A warning message will appear if your request breaks a rule.

Click on the arrows to view a different year.

Click on the

X to delete the request.

Requesting Duties

Click on Request a Duty from the left hand menu. Select the roster period you wish to make a request in

Click on the day you wish to request a duty; the available shifts will be displayed. Click on the required shift / day off. (Add your note before clicking the required duty) To request a study day, select from the drop down list. Change the number of hours if different from the default. Click on Add and the requested study day will show in your calendar.

View/Edit Requests To delete the request click on Remove

When your request has been approved a tick will appear.

Remember you should still check the Roster to ensure that your requests have been approved.

Viewing Timesheets Select the Timesheets tab. Select View Historical Timesheets. Select an Available Pay Period.

Details of the selected period are shown; as below:

Click on the View buttons to display a detailed Timesheet and Absence summary e.g. Ward/Dept, Date, Duty, Start and End times etc.

Bank Availability Click on Bank Availability on the left hand menu (you will only see this menu if you are registered with LPT Bank)

Find the right week and click on the day you wish to offer your availability (similar to requesting a shift).

Click on All Day or the shift that you are available for, and write a note if necessary. You can add multiple shifts for the same day. You can ‘custom make’ availability choosing the exact time. Use the Unavailability option to block a day as ‘no bank’. Enter the length of unavailability and click on Add.

Availability is shown in faded green for “All Day” and yellow for any “Part Day”. Custom made availability shows the times. Unavailable ‘NoBank’ is grey.

Click on the Remove link to delete availability entered

How to access Employee Online from your Smart Phone Please note you can also use the below web address to access EOL from your home computer. 1. The following website address will take you to the login page: http://employeeonline.leicspart.nhs.uk 2. At the login screen, please enter your username and password. Please note:  

Your username is your surname followed by your 8-digit payroll number (ie smith12345678). If you are logging on for the first time, or have just had your password reset, your password will have been emailed to your registered email address (this will either be your work email account, or an external address you have provided to the Bank Office). Please note that the password is case sensitive.

3. Having entered your username and password click on Login: 4. If you are logging on for the first time, or have just had your password reset, you will now be prompted to change your password to something more unique. Enter the password you were emailed in the ‘Current Password’ field, then enter and confirm your new password. 5. Once you have done this, please click Change Password:

6. If you have changed your password the site may go straight to the Full Desktop Site. This will look and behave the same as on your computer. Otherwise you will be greeted by the mobile site. From here you can use the links to view your Roster, Annual Leave, and Study Leave. Please note that the Mobile View is Read Only. If you wish to make requests etc then please click on the button in the bottom right hand corner to view the Full Site. EmployeeOnLine.v5
